Accountant

JOB SUMMARY: To provide mainstream accounting functions and support the Financial Controller.

RESPONSIBILITIES: (including but not limited to)

  • Preparation of monthly financial reports to all GM's and Departmental Managers.
  • Preparation of monthly budget and variance analysis.
  • Account reconciliations as per monthly list
  • Preparation of standing journals.
  • Ensuring company adherence to audit report and GST requirements.
  • Workers Comp Reconciliation renewal.
  • Various benchmarking and comparison of company performance.
  • Oversee company Accounting and Administration functions.

Accounts Payable

JOB SUMMARY: The organisation, control and maintenance of all facets of the accounts payable functions.

RESPONSIBILITIES: (Including but not limited to)

  • Payment and reconciliation of all creditors.
  • Oversee that prompt payment of cheques and funds transfer takes place
  • Related reconciliations as per monthly reconciliation list
  • Checks of account codes on invoices prior to entry into system.
  • Coding and entering of expense invoices.
  • Raise admin purchase orders / support for the other departments relating to questions and queries about raising purchase orders.
  • Filling out account applications for prospective new creditors and setting them up into the system after being approved.
  • Reconcile transit damage claim payments against repairer's invoices
  • Maintenance of fixed assets register
  • Check receipted creditor's invoices from Parts & Service departments
  • Receipt vehicle sublet & miscellaneous invoices for sales departments.

Credit Controller

JOB SUMMARY: The operational maintenance of all facets of the debtor control functions.

RESPONSIBILITIES:

  • Parts and Service debtor's accounts.
  • Assist vehicle debtor's collections as required.
  • Collection of debts via phone, letter and legal action as required.
  • Processing of credit account application forms
  • Processing debtor credit card payments
  • Processing debtor EFT Payments and vehicles
  • Preparation of Reports for: - Weekly - Vehicle Reports - Monthly - Service & Parts Cash Sales Report - Monthly - Management meeting
  • Related reconciliations as per monthly Reconciliation list.
  • Conduct monthly meetings relating to Parts and Service debtors
  • Reconciling Fleet System & Payments

Administration Clerk

JOB SUMMARY: To provide general clerical support to the Administration team.

RESPONSIBILITIES:

  • Processing of daily banking.
  • Petty cash custodian for petty cash throughout the organisation.
  • Collection of significant cash transactions.
  • Vehicle Bailment payments.
  • Process Family Purchase and Wholesale deals.
  • Floor Plan administration for Toyota and Lexus.
  • Related Reconcilliations as per monthly Reconciliation list.
  • Sell off vehicles through vehicle marketing and financial systems for:
    - New and Pre Owned Retail vehicles
    - Government Vehicles.
  • Organise New and Pre-Owned car registrations.
  • Arrange cheques for payment of RTA work.
  • Control and issue of CTP Green slips.
  • Weekly reports on expired Pre Owned vehicle registrations + Disposals and Transfers.
  • Fines - Statutory Declarations for loan cars, demonstrators, used cars & wholesale. Tracking down people responsible for offences.

Information technology Manager

JOB SUMMARY: As the Information technology Manager/Administrator you will manage the day-to-day operations of information technology (IT) systems, to make sure that the system runs effectively. This involves planning, administering and reviewing the acquisition, development, maintenance and use of computer and telecommunications systems within the organisation.

RESPONSIBILITIES:

  • Prepare systems cost estimates and cost-benefit analyses.
  • Coordinate the work of support staff.
  • Direct the integration of IT operations, computer hardware, operating systems, communications, software applications and data processing.
  • Oversee the provision of training for users and clients in systems use and access.

JOB SUMMARY: Advise and guide managers and staff in the implementation of human resources initiatives to facilitate improvement. Provide internal human resources consultancy services to the company. Facilitate recruitment needs for the dealership.

RESPONSIBILITIES:

  • Recruitment and Selection for the dealership.
  • Create copy & book placement of advertisements for job vacancies.
  • Prepare internal job adverts for email distribution
  • Coordinate initial interviews.
  • Conduct employee reference checks.
  • Maintenance, preparation and issue of starters kits & letters of appointment.
  • Coordinate training needs analysis for the company. Maintaining training history/development plan. Organising staff inductions & conduct in-house training.

  • Preparation and distribution of company organisation chart & employee head count.
  • Assist managers with employee relations and disciplinary procedures. Advice managers on industrial relation issues.

JOB SUMMARY: The organisation, control and operational maintenance of all payroll and OHS functions for the dealership.

RESPONSIBILITIES: (Including but not limited to)

  • Preparation and maintenance of weekly payroll.
  • Workers Compensation processing i.e. Claim forms.
  • Act as Rehabilitation Co-ordinator.
  • Preparation of monthly superannuation returns.
  • Preparation of separation certificates, STP's and group certificates as required.
  • Preparation of monthly reports - annual leave; overtime; sick leave; wages etc.
  • Manual calculation of wages as required (due to discrepancies caused by overtime, bonus payments errors etc.
  • Ensure current award rates are on hand and circulate to all managers. MTA Journal excerpts.
  • Call MTA on behalf of managers and employees for clarification of queries not specifically detailed in the award.
  • Issue copies of group certificates as requires.
  • In conjunction with HR Advisor record all training on payroll system.
  • Related Reconcilliations as per monthly reconciliation list.
  • Statutory reports: Group Tax and Payroll Tax.

Marketing Manager

JOB SUMMARY: Primary role of the Dealership Marketing Manager is to develop and implement effective strategic marketing solutions and plans, in conjunction with the management team, to meet the company's growth objectives.

RESPONSIBILITIES:

  • The primary key functions to supply marketing support to all departments include preparation of annual marketing budgets.
  • Preparation of media strategy and management of media schedules.
  • Briefing agencies and managing all advertising for sales & service with particular attention to our PMAs
  • Weekly liaison with advertising agencies to meet the advertising objectives - branding, retail sales, customer retention, TMCA retail programs, creative execution, legal requirements
  • Event management relating to sponsorships, SCL functions and community and charity support activities.
  • Developing cross marketing opportunities with our sponsors and suppliers to maximise sales opportunities.
  • To provide print support, creative strategy and development, to all departments - newsletters, brochures, leaflets, correspondence and customer surveys etc
  • Working with CRM Manager to interface data bases with DM customer retention projects, major sale events, Fleet and Service marketing projects
  • Responsible for strategic development of websites, including ongoing maintenance, content management, online suppliers for lead generation and future e communication opportunities.
  • Monitoring all marketing expenditure against budgets for internal and external audit purposes and managing all marketing administration.

Receptionist

JOB SUMMARY: Being the primary contact person you have the most important role of ensuring the customer receives the highest level of customer service possible. Accordingly a cheerful and professional telephone manner is essential to have and necessary to implement at all times.

RESPONSIBILITIES:

  • The Receptionist's role involves interacting with visitors and customers, answering directing calls and general clerical duties.
  • Typing as required for the Administration Department.
  • Data entry as required.
  • Provide a backup to fellow receptionist.
  • It is essential that you display and maintain a professional manner and excellent personal conduct whilst in the 'open plan' environment of the Dealership as per reasonable expectation and company policy.
  • Prompt and courteous customer attention wherever a customer needs assistance. Including meet and greet visitors where required.
